November 5, 2003

We invite you to attend the 2004 Maize Genetics Conference, to be
held at the Camino Real México, in Mexico City, Mexico. The meeting
will begin with the evening meal on Thursday, March 11 and continue
until 11:00 AM on Sunday, March 14, 2004. Details concerning meeting
and hotel registration, travel directions, and visa information are
available at the meeting website:
http://www.maizegdb.org/maize_meeting/2004/. The meeting website
will be updated regularly.

REGISTRATION: Deadline is January 10, 2004. Note earlier-than-usual deadline.

There are two separate registration forms, one for lodging
reservations and one for meeting registration.

Lodging Registration
To reserve lodging, submit the Hotel Reservation Form by January 10,
2004. You can make your reservation using the secure online
reservation form available from the meeting website. Alternately,
you can print the form and fax the reservation information to:
B. Bribiezca, Maize Genetics Conference, Fax: (52) + 55 51 48 20 13.
You can also call the resort directly at (52) + 55 52 63 88 88.
The listed prices include room, taxes, gratuities and meals from
Thursday night through breakfast Sunday. Please note that there are
two options available. The option B allows the conference
participants to share a room with an accompanying person (not a
meeting participant) at only a small extra cost. We urge people to
room together as much as possible. If you need to locate a roommate,
please do so before submitting your lodging registration form. A
roommate link will be posted on the meeting web site.

Meeting Registration
To register for the meeting, submit the Meeting Registration Form by
January 10, 2004. The form is available from the meeting website and
offers the option to register online or to mail or fax the form with
your registration payment. There is a flat fee of $50 for advance
registration for all attendees, except there is no registration fee
for graduate or undergraduate students. Registration fees are used
to help pay for the basic expenses of the meeting (mailings, printing
programs, featured speaker expenses, etc.). We strongly encourage you
to register in advance of the meeting. It is cheaper to do so
(on-site registration is $75), and pre-registration allows us to make
up a list of attendees with their affiliations and pre-printed name
tags to distribute to you when you arrive at the meeting. You will
receive a receipt by mail, by email, or at the meeting.
Meeting registration will be handled by the University of
Missouri Conferences Office. Our contact there is Amy Jarvis and she
can be reached by phone at (1) + 573- 882-4087, by fax at (1) +
573-882-1953
or by email at muconf4 at missouri.edu.

TALKS, POSTERS, ABSTRACTS: Abstract submission deadline is January 10, 2004.

The meeting will include four featured speakers, approximately 30
short talks (15 minutes), poster sessions and two workshops: "Maize
genetic diversity - exploration, maintenance and applications" and
"Sequencing the maize gene space - a progress report".
All abstracts must be submitted electronically via the WWW Abstract
Form available from the meeting website,
http://www.maizegdb.org/maize_meeting/2004/. Deadline for submission
is January 10, 2004. Those of you who plan to be away at that time
tending to winter crops should submit your abstract earlier.
Please indicate whether you wish to give a talk or a poster. Do not
check both options. Authors submitting abstracts accepted for talks
will be informed by mail or email by February 15, 2004. Authors
submitting abstracts for posters and accepted for posters will be
informed at the same time. Authors whose abstracts may not be
accepted for a talk due to meeting time constraints will be asked to
give a poster. Authors should check the meeting web site to make sure
that their abstract is posted and there are no errors. If you have
not received any information about your abstract, and it is not
accessible on the web site by February 21, 2004, please contact Mike
Scanlon at (706) 542-7516 or mjscanlo at plantbio.uga.edu. As usual,
poster areas will be 4 ft. X 4 ft., and you will need to bring tape
or tacks for hanging your poster.

FINANCIAL AID: Deadline for applying is January 10, 2004.
U.S. Students
We are soliciting federal grants and industry donations to partially
cover room and meal costs for all graduate students and for those
undergraduates who are the first author and presenter for a poster or
talk. The subsidy will be applied to the cost of room and meals at
the hotel. You will be notified by email of the amount of the
subsidy about two weeks before the meeting.
To apply, students must:
a) register with the hotel (do not include the one-night room deposit);
b) submit a completed meeting registration form;
c) complete and submit the Request for Student Financial Assistance
form available at the Meeting Registration site (link through
http://www.maizegdb.org/maize_meeting/2004/) before January 10, 2004.
We no longer require a signature by your advisor; only the advisor's
email address and telephone number are needed.
NO applications for student support received after January 10, 2004
will be considered, so please act promptly.

International Participants
We have received funds from the International Center For Genetic
Engineering and Biotechnology (ICGEB) to partially cover room and
meal costs for students, postdoctoral scientists, and other
scientists who are resident nationals from ICGEB countries (list of
eligible countries is at the end of this letter). Priority will be
given to students who apply, then to postdocs, then to other
scientists. The subsidy will be applied to the cost of room and
meals at the hotel. You will be notified by email of the amount of
the subsidy about two weeks before the meeting.
To apply:
a) register with the hotel (students need not include the one-night room
         deposit; others should include the one-night room deposit);
b) submit a completed meeting registration form;
c) complete and submit the International Participant Request for
Financial Assistance form available at the Meeting Registration site
(link through http://www.maizegdb.org/maize_meeting/2004/) before
January 10, 2004. If you are a student or postdoc, you must provide
your advisor's / mentor's email address and telephone number.
NO applications for support received after January 10, 2004 will be
considered, so please act promptly.

EVENING RECEPTIONS AND SPECIAL EVENT
Kegs, wine and soft drinks will be available in space provided by the
Camino Real; if weather permits this space will be outdoors. There
are no time restrictions placed on socializing and beverage
consumption in Mexico, so you can party as late as you wish. On
Saturday night, we will be treated to a special tour of the nearby
Museum of Anthropology. This museum is one of the best in the world
and this visit should be a memorable experience.

We look forward to seeing you all at the Meeting!
